How does admin assign shared expenses

Assign shared responsibility through trip participants

Shared expenses are no longer assigned from individual expense rows. Admins assign shared responsibility by setting each participant`s shared amount and optional deadline.
  1. Open Dashboard > Trip personal > Participants for the selected trip.
  2. Select the participant you want to update and open Update.
  3. Enter the participant`s Shared amount and, if needed, set a Shared deadline.
  4. Submit the form. Plantour saves that participant`s shared assignment immediately.
  5. Set the shared amount back to 0 if you want to remove the participant`s current shared assignment.

Auto assign shared expenses for marked participants

Use this when you want Plantour to split the still-unassigned part of the shared-expense total across selected participants.
  1. Open Dashboard > Trip personal > Participants.
  2. Mark the participants who should receive the next shared-expense assignment. Use Mark all or Unmark all from the page menu when that is faster.
  3. Open the page menu and click Auto assign shared expenses.
  4. Review the dialog preview. Plantour shows the total shared-expense amount, how much is already assigned, how much will be assigned now, and how the amount is split across the marked participants.
  5. Click Assign to apply the split. Plantour increases existing shared assignments when needed and keeps the money split exact to the cent.
  6. Plantour warns that all assignees will receive an email notification before you confirm.

Use Expenses Overview with shared expenses and participants

  • Use the Trip shared expenses page to maintain the trip-level list of shared costs.
  • Use the Trip participants page to decide how much of that shared cost is assigned to each participant.
  • Use the collapsible expenses overview on both pages to see whether the trip-level total and participant assignments stay in sync.
  • Trip info and reports summarize the shared assigned, paid, remaining, pending, and rejected values across participants.
Participants do not manage trip-level shared totals from the shared-expenses page. They review their assignment on Trip participants and track payments from My shared balance on the personal Trip expenses page.
