How do I work with trip participants

Open trip participants for the selected trip

  1. Click the Dashboard toolbar button, expand the Trip section and click on the Trips link
  2. Select the trip you want to work in.
  3. Open the Trip section again and select Participants.
  4. Plantour opens the Trip participants page for that trip and shows the shared-expenses overview at the top of the page.
If the wrong trip opens, change the selected trip first and then return to Participants.

Add, update, or delete participants as an admin

Admin actions on this page work with trip participants, not with the reusable Travelers dictionary. A traveler must already exist before that person can be added to the trip here.
  1. Use Add to open the participant form. In add mode, Plantour shows only travelers who are already in your traveler list and are not yet participants of the selected trip.
  2. Select the traveler, then review the read-only contact fields that Plantour fills from that traveler record.
  3. Optionally set participant-specific fields such as Packaging Complete, No-pack Weight, No-pack Unit, and Notes.
  4. Submit the form. Plantour adds that traveler to the selected trip as a participant.
  5. To change an existing participant, select the participant and use Update. Plantour opens the same participant form for editing.
  6. In update mode, adjust participant fields such as notes, packaging state, no-pack weight, shared amount, or shared deadline, then submit.
  7. To remove a participant from the trip, select the participant and use Delete. Plantour deletes that trip participant record from the selected trip.

What participants can do there

  • Participants can open the Trip participants page for trips they can access and review the participant list and the shared-expenses overview.
  • Participants cannot open the admin Add, Update, or Delete flows for trip participants.
  • Participants can open the participant form only in view mode.
  • When a participant has a shared amount assigned on that participant`s own row, Plantour shows a Rejected checkbox there so that participant can reject or un-reject that shared expense assignment.
  • Participants do not edit trip-level shared totals from this page. They review their assignment here and track their own payments from Trip expenses.

Assign shared expenses from trip participants as an admin

Shared expenses are assigned from the participant record on this page, not from individual shared-expense rows.
  1. Open Trip participants for the selected trip.
  2. Select the participant you want to assign and open Update.
  3. Enter the participant`s Shared amount and, if needed, set a Shared deadline.
  4. Submit the form. Plantour saves the assignment immediately.
  5. Set Shared amount back to 0 when you want to remove that participant`s current shared assignment.
  6. If you want to split the still-unassigned shared-expense amount across several participants, mark the needed participants in the list, open the page menu, and choose Auto assign shared expenses.
  7. Review the confirmation dialog. Plantour shows the total shared-expense amount, the already assigned amount, the amount that will be assigned now, and how the split is distributed across the marked participants.
  8. Confirm with Assign. Plantour increases the marked participants` shared assignments and keeps the split exact to the cent.

Use the upper shared-expenses overview panel

  • Use the collapsible panel at the top of the page when you want the full trip-level picture without leaving Trip participants.
  • The panel shows these totals: Shared expenses total, Assigned, Waiting for assignment, Paid, Waiting for payment, and Rejected.
  • Use that panel together with participant rows when you want to compare the trip-wide shared-expense total against the amounts assigned to participants and the amounts already paid.
  • Use Trip shared expenses to maintain the trip-level shared-expense rows themselves, and use Trip participants to distribute those totals across participants.
